The type of personal data we collect; how and why we collect it

The personal data we collect varies depending on your interactions and relationship with RAYNE. It does not include anonymous data or data where the identity has been removed. The data we collect refers to any information that could identify an individual. This could include a name, email, mailing address, telephone number, title, or company.

We collect and process personal data in different methods. This will depend on whether you are a website user, a client, supplier or consultant.

Website User

This may include when you download content or contact us via our website, by completing online registration forms, applying for opportunities and positions with us or creating or updating your marketing preferences. The type of data and information we collect may include your name, contact details, telephone number, email addresses, details included in your CV, resume or cover letter should you submit it to us online. Client

Following any enquiries, instructions to partner with or use of our services, we will collect and use information to understand your requirements, agree assignment opportunities, role specifications, discuss terms and conditions, share consultant information and consultancy services details.

The types of data and information we collect may include what you provide to us via email, telephone, post, via online or in person meetings or through our website. We may collect this via interactions and conversations via social media, from colleagues, wider networks or any event lists or marketing materials.

The data collected may include but not be limited to the contacts of individuals who instruct or work with us from your organisation such as their name, job title, email address, telephone numbers, work address, work history, or written records or our meetings or conversations.

Supplier

When working, contracting or supplying services to us we may need certain information and details so we can receive and pay for the services you provide. You may provide your personal information and data to us via email, telephone, face to face, via our website or email. We may obtain your details and information from social media, consumers and consultants that use your services, from our own networks and shared contacts, event lists or third-party marketing and research methods.

The data we collect may include details of individual contacts from your organisations and network including names, job titles, telephone numbers, email addresses, work addresses and details or written records of conversations and meetings.

Consultants

This relates to past, current and potential consultants and those in the process of joining.

You may provide your personal data to us via email, telephone, post, during online or in person meetings, via our website, through our on-boarding process or questionnaires and surveys we may share with you. We may also collect data directly or indirectly via third parties through social media searches, research companies, client or supplier conversations, recruitment and staffing agencies, referrals from suppliers or other third parties.

The data we collect about consultants may include but not be limited to name, title, date of birth, gender, right to work, marital status, visa status, social security / national insurance number, nationality, employment history, education history, skills, references and qualifications.

We do not collect Special Categories of Personal Data, unless we are required to by law; we have obtained prior explicit and written consent; or we are required to carry out criminal or other background checks as part of our engagement processes.

We collect and use your data for legitimate business purposes and the use of such data will fall within one or more of the following basis', such as:

• To match candidate details with client requests for assignments, opportunities and instructions.

• Relating to marketing, event, webinars, reports, services or industry updates. Depending on the location, it may be necessary for us to offer you an option to “opt-in” or “opt-out” with certain marketing communications.

• For certain business purposes including audits, fraud monitoring, prevention and data analysis.

We may transfer the Personal Data we collect about you to countries outside the country in which the information was originally collected. This includes if you are located in the European Economic Area. As we transfer personal data within RAYNE Group for our business purposes (as described in this privacy policy), personal data will be transferred to the United Kingdom, and the United Arab Emirates. Many of our data processors operate “cloud-based” systems, which means the information hosted or stored by them is held in data centres in different locations.

Where we transfer your data outside the country of origin, we will take measures to comply with legal requirements under applicable data protection laws and to protect your information.
